A partner, not a ghostwriter

The most common way people use AI for writing is to ask it to write the whole thing and paste the result straight out. That works, but it tends to produce writing that sounds like everyone else’s, and that does not quite say what you meant.

A better way to think of it is as a partner sitting beside you. You bring the ideas, the facts, and the judgement about what is true and what matters. The AI brings speed, a knack for structure, and endless patience for another draft. The words end up yours, shaped faster.

Everything you ask it comes down to a prompt, the instructions you give the AI. The more you treat that prompt as briefing a colleague, telling it the goal, the reader, and the tone, the more useful a partner it becomes.

Getting a first draft down

The blank page is where AI helps most, because it is far easier to improve something than to start from nothing. Give the AI enough to work with and let it produce a rough draft you can react to:

I need to write a short update to my team about a delayed project launch.
The launch is moving from March to May because of supplier problems. I
want it to sound calm and honest, not panicked. Draft about 150 words.

Read what comes back not as a finished piece but as clay. Perhaps the tone is close but one line feels off, or a fact is not quite right. That reaction, “no, more like this”, is the real work, and it is far quicker than facing an empty page.

Editing what you already have

AI is just as useful when you have written something yourself and want a second pair of eyes. Paste in your own words and ask for specific help rather than a vague tidy-up:

Here is a paragraph I wrote. Please tighten it, cut any repetition, and
flag anything that is unclear, but keep my voice and do not add new points.

Adjusting the tone

Tone is one of the things AI handles remarkably well, because so much of it lives in word choice. The same message can be warm, formal, or brisk, and you can ask for each in turn:

version that is more formal and to the point.

Seeing two versions side by side makes the choice easy, and often teaches you something about which words carry which feeling. This is a good habit for anything sensitive, where getting the tone right matters as much as the content.

Try it yourself

Pick something small and real you need to write this week, a message, a note, a short post, and hand the AI the situation rather than asking it to guess:

Help me write a thank-you message to a colleague who covered my shifts
while I was ill. I want it to sound genuine and not over the top, about
three sentences.

Then push back at least once. Ask for it warmer, or shorter, or in your own plainer words. That back-and-forth, not the first reply, is where the good version appears.

One thing to watch

A common trap is trusting anything the AI states as fact, especially names, figures, and quotes. Remember that AI can produce a confident answer that is made up entirely, a slip known as a hallucination. For opinions and phrasing this rarely matters, but for facts it very much does.

The fix is not to avoid AI, it is to keep the roles clear. Let the AI help with the words and the shape, and let yourself remain the one who checks that every fact is true before it goes out.
